Goal: Get you and the crew logged in from the field.
Download the Mobile App (LeadConnector)
Action: Download the LeadConnector app (iOS or Android) and log in with your sub-account credentials.
Why it matters: You can check leads, reply to emails, and send invoices directly from a job site without needing a laptop.
Complete Business Info & Add Users
Action: Go to Settings > Business Profile to verify your company name, address, logo, and website. Then go to Settings > My Staff > Add Employee to add office admins or estimators. CLICK HERE TO WATCH A QUICK VIDEO GUIDE
Tip: Set field techs to User permissions so they can view schedules and contacts without accidentally changing billing or account settings.
Goal: Make sure you can accept money and book estimates without double-booking.
Connect Your Payment Processor
Action: Go to Payments > Integrations and connect Stripe (or Square/PayPal).
Why it matters: This is required before you can collect deposits, take card payments on-site, or send payable invoices.
Integrate Calendar & Create a Booking Link
Action: Go to Settings > My Profile > Calendar Integration and link your Google or Outlook calendar. Next, go to Calendars > Calendar Settings to customize your default "On-Site Estimate" calendar and copy the booking link.
Tip: Turn on two-way sync so personal appointments block off your estimate availability automatically.
Goal: Never lose track of a quote request or customer thread.
View Form Submissions
Action: Go to Sites > Forms > Submissions (or check the Contacts tab) to see everyone who filled out your website quote form.
Tip: Enable push notifications in the LeadConnector app so you get an instant alert the second a new lead comes in.
Contacts: Add, View & Segment
Action: Go to Contacts to view your customer list or click + Add Contact to manually enter someone who called you directly.
Tip: Use Tags to keep things organized—for example: Needs Estimate, Quote Sent, Active Job, or Past Customer.
Conversations Tab: Sending & Receiving Emails
Action: Go to Conversations to see all incoming and outgoing emails in one place. Click the Email icon at the bottom of any contact's thread to reply.
Why it matters: Every quote, follow-up, and photo stays attached to that customer's profile instead of getting buried in a personal inbox.
Goal: Send professional paperwork and collect payment fast.
Create Invoices & Contracts
Action: Go to Payments > Invoices (or Documents & Contracts) and click + New to build an estimate, service agreement, or invoice. Add your line items, set the due date, and hit Send.
Tip: Save your most common jobs (e.g., "Standard Roof Inspection," "Water Heater Flush") as Products under Payments > Products so you don't have to re-type descriptions and prices every time.
